Q.Do committee reports have to be "officially approved minutes" before a report is given to the council?

A.Few parish council members want or read the minutes of a committee meeting. Minutes are for the committee members.

The council needs to know that the four mandated parish committees are in place, that they are well staffed, and that they are doing the work expected. We recommend that councils receive a short report similar to the format found in the form in the appendix of the Parish Council Manual. It calls for the following:

  1. Name of Committee and date of meeting
  2. Members present (to know who makes up the committee and to be sure it isn't a committee of 1 or 2)
  3. Topics/Issues/Projects discussed
  4. Decisions Made
  5. Follow-up work/person(s) responsible/due date
  6. Date of next meeting
  7. And if this committee needs any direction from the council or time on the next council agenda.
